What Is WhatsApp Business API? A Plain-English Guide for Indian Businesses

Features, uses, pricing and how it compares to the free app — ready to understand in 5 minutes.

The WhatsApp Business API is the official way for a company to send and receive WhatsApp messages at scale, through software instead of a phone. If you've ever received a WhatsApp order update, an OTP or a bank alert from a verified business number, it almost certainly came through the API.

This guide explains what it is, how it works, how it's different from the WhatsApp Business app you may already use, and whether it's right for your business.

WhatsApp Business API in simple words

The regular WhatsApp app is built for one person with one phone. The WhatsApp Business API is built for companies. It connects WhatsApp to your own software, such as your CRM, website, online store or support tool, so messages can be sent and answered automatically and by a whole team.

A few things to know up front:

How does it work?

It's easier than it sounds. There are three moving parts:

  1. Your business sends or receives a message from your system: a customer places an order, someone fills a form, or a customer writes to your WhatsApp number.
  2. Your provider's platform passes it to WhatsApp through the API: and brings replies back into your dashboard, CRM or chatbot.
  3. WhatsApp delivers it to the customer: who sees a normal WhatsApp chat, often with a verified business name.
The two kinds of messages, and the difference matters:
  • Template messages start a conversation. You can only send these to people who've agreed to hear from you, and each template must be approved by Meta first. Order updates, OTPs, payment reminders and offers all use templates.
  • Free-form replies are allowed in the 24 hours after a customer messages you. In that window you can chat normally, with text, images, buttons and documents.

Templates fall into three categories: marketing, utility and authentication. Meta prices each differently, which we cover in the cost section below.

What can you do with it?

WhatsApp Business app vs WhatsApp Business API

Most small businesses start with the free app and move to the API when they outgrow it. Here's how they compare:

WhatsApp Business app vs WhatsApp Business API
Feature WhatsApp Business app WhatsApp Business API
Built for Small businesses, one owner or a small team Growing and larger businesses
How you use it A mobile app on your phone Software or a provider dashboard
Team access One phone plus a few linked devices Many agents on one number
Sending to many people Limited broadcast lists Template campaigns to opted-in customers at scale
Automation Basic away messages and quick replies Chatbots, workflows and system-triggered messages
Integrations None CRM, ERP, website, payment and helpdesk tools
Cost Free Per-message charges from Meta, plus a provider fee
A simple rule: if one person can handle your chats from a phone, the app is fine. If you need many people, automation, or messages sent by your own systems, you need the API.

Who uses it, and for what?

No matter the industry, the pattern is the same. Useful, timely messages work well on WhatsApp. Constant promotions don't.

What does it cost?

There's no flat monthly fee for the API itself. Meta charges per delivered template message, and the price depends on the message category and the country of the person receiving it. In India, Meta's list rates are currently around ₹0.86 for a marketing message and ₹0.115 for a utility or authentication message, before GST. Check Meta's pricing page for the latest figures, because they change.

On top of that, your provider charges for the platform and support. We'll go through exactly how the two bills work in our WhatsApp Business API pricing guide.

How to get started

The usual path looks like this:

  1. Set up a Meta business account and verify your business with your company documents.
  2. Pick a number that isn't already tied to a personal WhatsApp account. Many businesses use a fresh number or move an existing one.
  3. Choose a provider that handles the technical side, the dashboard and support.
  4. Create your display name and message templates, then wait for Meta's approval.
  5. Connect your tools and send your first message.

The details, including documents and common delays, are in our step-by-step guide on how to get WhatsApp Business API in India. If a template gets rejected, why WhatsApp templates get rejected explains why.

Is it right for your business?

It's a good fit if you:

It might be too much if you handle a few dozen chats a day from one phone and don't need automation. In that case, the free WhatsApp Business app is a perfectly good place to start.

Also keep in mind that WhatsApp works best alongside other channels. Plain alerts to every phone often still go through bulk SMS, while WhatsApp or RCS messaging carries the richer conversation.

Frequently asked questions

What is the WhatsApp Business API in one line?

It's the official way for a business to send and receive WhatsApp messages at scale through software, with templates, chatbots and team inboxes.

Is the WhatsApp Business API free?

No. Meta charges per delivered template message, and providers add a platform fee. Replies inside the 24-hour customer window cost much less than business-started messages. Some providers offer a free trial so you can test first.

What's the difference between the WhatsApp Business app and the API?

The app is a free mobile app for small businesses. The API connects WhatsApp to your software and supports many agents, automation, integrations and large-scale messaging.

Can I use my existing WhatsApp number with the API?

Often yes, but a number can't be active on the regular app and the API at the same time. Your provider can guide you through moving it, or you can start with a new number.

Do I need a developer to use it?

Not always. Many providers include a dashboard where you can send campaigns and reply to customers without writing code. A developer helps if you want to connect your own website, app or CRM.

Do I need Meta's approval?

Yes, in three places: your business verification, your display name, and each message template. Approval times depend on Meta's review.

Is it the same as the WhatsApp Cloud API?

The Cloud API is Meta's hosted version of the API, and it's what most businesses use today, usually through a provider.
