Exactly what to keep ready for your DLT entity registration, whether you're a company, LLP, proprietorship, trust or government office, plus a sample authorisation letter you can adapt.
Most DLT rejections we see have nothing to do with the business. They come down to paperwork: "Pvt Ltd" on the PAN and "Private Limited" on the GST certificate, an unsigned authorisation letter, or a phone photo of a document that the reviewer can't read.
Each one costs days. This checklist is built from the applications we've helped prepare. It shows what each type of business should upload, what the authorisation letter should say, and the small details that decide whether you're approved first time.

The PAN of the business itself: company, LLP, firm or trust. For a proprietorship, it's the proprietor's personal PAN.
One document showing the business exists and its address: GST certificate, certificate of incorporation, partnership deed, Udyam registration, shop and establishment certificate, trade licence or trust deed.
On letterhead, naming the person who will register, signed by a director, partner, proprietor or trustee, with the business stamp.
Government photo ID of the person named in the letter: PAN, Aadhaar, passport, voter ID or driving licence.
The PAN and authorisation letter are common to almost everyone. What changes is the business proof:

Portals sometimes ask for an extra address proof if your business proof doesn't show the address clearly. A recent utility bill or rent agreement in the business name usually works. Schools and coaching centres can also read our guide to SMS for educational institutions once registered.
Adapt this format to your business. Print it on your letterhead, then sign and stamp it. If your chosen portal offers its own downloadable format, use that one instead.
Two checks before you upload: the business name in the first line must match your PAN exactly, and the person signing for the business must hold the role shown in the table above.
Once your entity is approved, adding headers and templates is mostly a form, not a document upload. There are two exceptions:

"ABC Pvt Ltd" vs "ABC Private Limited" counts as a mismatch. Copy the name exactly from the PAN into every field and document.
The authorisation letter needs both the authorised person's signature and the business signatory's signature and stamp.
Use a scanner or a scanning app, not a tilted photo. All four corners and every number must be visible.
A proprietorship registered as a company, or the reverse, fails verification. Pick the type that matches your PAN.
An expired ID or a cancelled GST registration will be rejected. Check dates before upload.
If the address on your business proof is outdated, add a current address proof in the business name.

Most DLT portals ask for three things: the entity's PAN card, one proof of business registration such as a GST certificate or certificate of incorporation, and a letter of authorisation on letterhead with the authorised person's photo ID. Proprietorships, trusts and government bodies use their own form of business proof.

GST is the most commonly accepted business proof, but businesses without GST can usually use another proof such as a certificate of incorporation, Udyam registration, shop and establishment certificate, trade licence, partnership deed or trust deed, depending on the portal and entity type.
It is a letter on your business letterhead in which a director, partner, proprietor or trustee authorises a named person to register and manage the business on the DLT portal. It is signed, stamped and submitted with that person's photo ID. Some portals provide their own format, which you should use if available.
Sole proprietors can register using the proprietor's PAN and Aadhaar along with a business proof such as GST, Udyam or a shop and establishment certificate. Requirements for individuals with no business registration vary by portal, so check the entity categories on the portal you choose.
The most common reason is a business name that doesn't match exactly across PAN, business proof and the application, for example Pvt Ltd on one and Private Limited on another. Other common reasons are an unsigned or unstamped authorisation letter, blurry scans, expired IDs and choosing the wrong entity type.
Usually not, if the sender ID clearly relates to your registered business name. If the header uses a brand or trademark that differs from your legal name, the portal may ask for proof that you own or are authorised to use that brand, such as a trademark certificate or a brand authorisation letter.
